Thesis/Dissertation Submission Requirements

   

               MASTER'S PROGRAMS * THESIS SUBMISSION REQUIREMENTS

After the student has fulfilled their obligations for graduation under the YÖK (Council of Higher Education) and GTU Regulations Governing Graduate Education and Training, and GTU Senate Principles Governing Graduate Education and Training, they must complete the requirements for thesis submission until the date specified in the respective Academic Year semester. The students completes the thesis submission in the specified period by taking note of the descriptions in the thesis submission form.

   

                     Documents to Complete and Submit Before Thesis Defense

YL.01 Thesis Submission Forms: 1 copy must be delivered to the Office of Student Affairs after approved by the Advisor and the Student Affairs. The other copy must be delivered by the related Department upon the approval of the Program Coordinator, to the Institute of  Natural and Applied Sciences via Electronic Document Management System (EBYS) with the following attachments:

 

  > 1 YL/DR.02 Thesis Defensibility and Originality Declaration Form: After signed by the student and the advisor, with the advisor-approved Academic Plagiarism Prevention Form (web link about Urkund) attached,

1 YL/DR.03 Thesis Jury Proposal Form: After approved by the advisor and the program coordinator, 

> 1 YL/DR.03-1 Thesis Submission Report Delivery Commitment Form: After signed by the student,

> 1 YL.04 Publication Review Approval Form: After approved by the advisor and with the publication information attached (for students who enrolled in the fall semester of 2015-2016),

> 1 Master's Thesis: As a PDF file prepared in compliance with the Thesis Writing Format

Within one week of the day the Jury Members were determined with Institute Executive Board's decision:

 

> 1 YL/DR.05 Thesis Submission Report (Proof of Submission to Jury Members): After approved by the jury members and the date and place of the defense is determined,

must be submitted to the Institute Directorate.

2 YL/DR.06 Jury Joint Evaluation Reports: 1 copy must be submitted to the student and the other copy must be submitted to the Institute by the related Department via EBYS within 3 days of the defense.

The student must complete the thesis submission procedures within 1 month of the thesis defense. The deadline to submit to the Institute may be extended for 1 month upon request.

Other Steps to Complete:

YL/DR.09 Thesis Writing Compliance Report: The print-out of the thesis prepared in compliance with the Thesis Writing Format is delivered to the Institute office staff for final check after approved by the related department's staff responsible for checking the thesis.

After the institute has confirmed the writing compliance, the following steps must be completed for submission to the Institute:

  > 4 YL.07 Jury Approval FormsAfter signed by each jury member (1 copy must be submitted to the Institute, the other 3 copies must be placed in the bound copies of the thesis),

YL-DR.08 Thesis Jury Personal Evaluation Report, (should the faculty member assigned as a jury member desire to fill in one) 

> 1 YL-DR.09 Thesis Writing Compliance Report,

> 1 YL-DR.10 Discharge/Exmatriculation FormAfter approved by the related divisions,

> 1 Thesis Data Entry and Publishing Permission Form: With the student's e-state password and the print-out of YÖK Thesis Center data entry form signed by the student (the "field of science" part must be left blank when filling the form),

> 3 Bound Dissertations,

> 2 CDs: The reduced sized image of the dissertation cover must be printed on the outer cover of the CDs, and YÖK reference number must be written on the CDs themselves. In the CDs:

    > The finalized dissertation must be saved (not in .rar/.zip (compressed form) or not encrypted) as a single PDF file.
> If the dissertation contains images, maps, computer programs, video or audio recordings, then these files must be compressed using the WinRAR program and saved into a CD with the title format "referenceno.rar" (the referenceno part must be replaced with the number of the referenced file).
  > 1 CD: The CD must contain the dissertation cover (English and Turkish) and the abstract (as "Özet" in Turkish and "Summary" in English) in MS Word format, a colored portrait picture of the student must be scanned and saved in the same CD in JPEG format.

  

DOCTORAL PROGRAM * DISSERTATION SUBMISSION REQUIREMENTS

After the student has fulfilled their obligations for graduation under the YÖK (Council of Higher Education) and GTU Regulations Governing Graduate Education and Training, and GTU Senate Regulations Governing Graduate Education and Training, they must complete the requirements for dissertation submission until the date specified in the respective Academic Year semester. The student completes the dissertation submission within the specified period by completing the following forms and taking note of the descriptions in them.

  

Documents to Complete and Submit Before Dissertation Defense

The student has their Advisor and Dissertation Monitoring Committee approve the DR.04-01 Dissertation Monitoring Committee Article Release Approval Form with the article attached, and then attaching it to DR.04 Article Review Committee Resolution, has it signed by the Article Review Committee, which consists of the Head of Department, Institute Director, and the Vice Rector.

DR.01 Dissertation Submission Forms: 1 copy must be delivered to the Office of Student Affairs after approved by the Advisor and the Student Affairs. Upon the approval of the Program Coordinator, the other copy must be delivered to the Institute of Natural and Applied Sciences Aby the Related Department via Electronic Document Management System (EBYS) with the following attachments:

 

1 YL/DR.02 Dissertation Defensibility and Originality Declaration Form: After signed by the student and the advisor, with the advisor-approved Academic Plagiarism Prevention Form (web link about Urkund),

> 1 YL/DR.03 Dissertation Jury Proposal Form: After approved by the advisor and the program coordinator,

> 1 YL/DR.03-1 Dissertation Submission Report Delivery Commitment Form: After signed by the student,

> 1 DR.04 Article Review Committee ResolutionAfter signed by the respective committee members,

> 1 Dissertation: As a PDF file prepared in compliance with the Thesis Writing Format,

    DR.04-01 Dissertation Monitoring Committee Article Release Approval: As signed by the advisor and the dissertation monitoring committee members and with the article attached,
  1 Dissertation: As a PDF file prepared in compliance with the Thesis Writing Format,

Within 1 week of the date determined by the jury members with the resolution of the Institute Executive Board:

  1 YL/DR.05 Dissertation Submission Report (Proof of Submission to Jury Members): Must be delivered to the Institute Directorate after approved by the jury members and after the date and time and the venue for the defense is determined.
 
 

 Documents to be Completed and Submitted After the Dissertation Defense

2 YL/DR.06 Dissertation Jury Joint Evaluation Report: After signed by the jury members, 1 copy must be handed to the student, the other copy must be delivered to the Institute via Electronic Document Management System (EBYS) by the related Department within 3 days of the defense.

The student must complete the dissertation submission procedure within 1 month of the defense. The deadline to submit to the Institute may be extended for up to 1 month upon request.

The image of the defense must be submitted and the introduction of the dissertation must be made after the dissertation defense.

Other Steps to Complete:

YL-DR.08 Dissertation Jury Personal Evaluation Report: (should the faculty members assigned as a defense jury member desire to fill in one),

> 1 YL-DR.09 Dissertation Writing Compliance Report,

> 1 YL-DR.10 Discharge/Exmatriculation Form: After approved by the related divisions,

> 1 Dissertation Data Entry and Publishing Permission Form: With the student's e-state password and the print-out of the YÖK Thesis Center data entry form signed by the student (the "Field of Science" part must be left blank when filling out the form),

> 3 Bound Dissertations,

> 2 CDs: The reduced image of the dissertation cover must be printed on the CDs, and the YÖK (Council of Higher Education) must be written on the CDs themselves. In the CDs:

    The finalized dissertation must be saved (as uncompressed and unencrypted) as a single PDF file.
> If the dissertation contains images, maps, computer programs, video or audio recordings, then these files must be compressed using the WinRAR program and must be saved in the CDs using the referenceno.rar format for the file titles.
  > 1 additional CD: The cover (English and Turkish) of the dissertation and the dissertation abstract (as "Özet" in Turkish and "Summary" in English) must be saved in MS Word format, and a scanned colored portrait picture of the student must be saved in JPEG format. 

  

 
 
 

The image of the defense must be submitted and the video introduction of the dissertation must be made after the Dissertation Defense.
