Points to be Considered by the Attendants

All cases such as petitions of candidates taking the exams, complaints of parents, verbal/written reports of the building examiners, problems of harmony between the officials in the conduct of the exams, not observing the necessary seriousness in the exam task, coming together and talking outside the hall are seriously evaluated. Since it is essential that the exams are conducted without any problems, those who do not show the necessary care in this regard will not be assigned again. In this context, it is imperative to pay attention to the following issues:

  • Motivational speeches should not be given before the exam in order to psychologically relax the students. ÖSYM has not given such a task to anyone. Since such speeches cause stress, they are the subject of complaints by students.
  • Candidates who are at an important threshold of their lives may be excited about the exam. Considering this situation, it is important to be extremely careful in addressing and approaching them and to avoid rude, hurtful and condescending expressions.
  • Attendants should not stand over any student during the exam, should not walk around the hall continuously, should avoid any behaviour that may distract attention and should not enter the exam with shoes that make noise. The procedures related to the documents of the students must be finalised before the exam starts.
  • It is obligatory for the examiners to wear clothes in accordance with the Dress Code. For this reason, it is not appropriate to come in a tracksuit, unshaven, etc. (Especially the most common complaints we receive from candidates are in this direction.) In exams such as YGS and LYS, it would be more appropriate to appear before young people who have always seen teachers in front of them in an outfit they are used to.

 

Special Situations that Hall Attendants may encounter

  • If the missing/incorrect document will be completed with the substitute document, do not start the exam in the hall until the deficiency is corrected.
  • If there is a need for a spare document after the exam has started, add the time until the spare document is provided to the exam time only for this candidate in order to prevent the victimisation of the relevant candidate. Do not remove the last three candidates from the exam hall before the exam of this candidate is completed. Collect the exam documents of these three candidates when their own exam time is over, do not extend the time for them.
  • The question booklet bag must be given to the candidate without opening it. However, if you notice that a bag has been opened before it has been given to the candidate, write this down in the Hall Examination Record and provide a spare document for that candidate.
  • The substitute answer sheet should be placed in the Answer Sheet Return Bag by packing it in its own order and among the other answer sheets in the hall.
  • Exam papers that are not used because they are faulty must be placed in the Faulty Exam Paper Return Bag.
  • A candidate may wish to leave the examination and go outside at any time during the examination. Do not remove a candidate who does not wish to continue the examination before ¾ of the examination time has elapsed and within the last 15 minutes of the examination. 
  • If a candidate does not comply with these rules and disrupts the exam order by insisting on leaving early, notify the Building Examiner and ensure that the candidate is removed from the hall. The candidate must be kept in the building until ¾ of the exam time is completed.  The Building Examiner should report the candidates who do not comply with this rule and insist on leaving the building to the security officers and ensure that they are kept in the building until ¾ of the exam period is completed.  The information of the candidate who leaves the building before the expiry of this period should be recorded in the report with the record ‘The exam will be deemed invalid’.
  • Candidates who complete the answering process early may leave the hall outside these periods. However, do not forget to take the question booklet and answer sheet from each candidate during these exits.
  • Even if there is only one candidate left in the hall, do not ask this candidate to leave the hall before the end of the exam period.
  • Candidates may attempt to cheat or cheat in the examination. 
  • It is best to take the answer sheet and the evidence of cheating, if any, from the hand of the candidate whose cheating attempt is detected, inform the Building Examiner and take the candidate out of the hall. The decision authority belongs to the Hall President.  However, be sure to write the T.R. Identity Number, name and surname of the candidate who is found to be involved in cheating on the Hall Examination Record, briefly indicate how he/she cheated and record ‘The Examination will be deemed invalid’.
  • If anyone disrupts the order of the exam with their irregular behaviour, write their identity information together with the incident in the Hall Examination Report and record ‘The exam will be invalidated’. Ensure that such people are taken out of the hall.  In such cases, inform the Building Examiner and ask for help. 
  • Security officers will be present in the buildings during the exam.
  • If a candidate's name is not on the Candidate Control List and Hall Attendance List even though the hall you are assigned to is written as the hall where the candidate will take the exam on the Exam Entrance Document, take this candidate into the exam, 
  • Write the Turkish Republic Identity Number, name and surname at the end of the lists.  Obtain a spare question booklet/answer sheet bag from the Building Examiner to be given to the candidates in this situation. 
  • Place the used substitute answer sheet in the Answer Sheet Return Bag between and during the answer sheets of the hall.
  • Candidates may claim that some questions are incorrect or that there is no correct answer. In this case, the Hall President should say, ‘It is very unlikely that there is a mistake. Even if there is, ÖSYM will do what is necessary. Your job is to try to answer each question and tick the answer you accept as the most correct one’.
  • You should not read the question, investigate whether the claims made by the candidates are true or not, interpret the question according to your own judgement and make a decision.

 Candidates during the examination,

  • Candidates may want to leave the examination hall for a short time for their needs such as toilet, health, drinking water, etc. Candidates in this situation should never be allowed. A candidate who leaves the exam hall should never be allowed back into the exam hall.

 For examinations conducted in prisons,

  • If it is understood that the arrest or conviction status has been revealed after the list of those who will take the exam in the prison where he / she is located has been sent to the relevant institution or that his / her name has not been reported by mistake; We must take this candidate to the exam regardless of which building and hall is written as the place where he / she will take the exam on the Exam Entrance Document. 
  • Let's write the Turkish ID Number, name and surname at the end of the list. Let's record the situation with a report. Let's give the spare question booklet/answer sheet bag to the candidates in this situation and let the candidate take the exam. Send the used spare answer sheet to the centre by placing it in the Hall Examination Document Bag among and in the order of the answer sheets belonging to the hall.
     

If any of the officials do not comply with the exam rules,

  • Do not take mobile phones or any electronic devices into the exam hall,
  • Mechanical device to come up with, 
  • Talking on a mobile phone during the exam, 
  • Reading newspapers and books,
  • Talking to each other, 
  • Analysing the question booklets, 
  • Taking out the question booklet and photocopying it,
  • Attempting to help candidates with their answers,
  • Wandering outside the hall he/she is assigned to, etc. This situation must be reported in writing to the Building Examiner.
