Internship Procedure

FACULTY OF ENGINEERING INTERNSHIP DIRECTIVE

SECTION ONE

Purpose and Content

Article 1. This directive indicates the Faculty of Engineering students’ internship that they have to do internship to consolidate their theoretical knowledge practically, within the frame of the GEBZE INSTITUTE OF TECHNOLOGY undergraduate education and teaching regulations principles.

Definitions

Article 2. In this directive those mean;

a) Institute:  Gebze Institute of Technology

b) Faculty: Gebze Institute of Technology Faculty of Engineering

c) Internship Commission: The commission that conducts internship missions in the related department

d) Trainee: The students who are doing the burden of internship in the education and teaching program.

e) Training places: The workplaces that belong to the public and private organizations that allocated the internship place for the trainee and approved by the internship commission.

Article 3. GIT Engineering Faculty undergraduate students are supposed to do at least total forty (40) work days of internship during their education

Article 4. The internships which are performed at separate terms preferably have to be done at a separate internship place, but on condition that person’s internship approved by the internship commission; the internship can be performed at separate department of the same establishment.

Article 5. The internship documents are stored at departments; saving time is five (5) years.

Article 6. The students shall obey the working orders related rules, directions and the commands of the management where they   do their internships.

SECTION TWO

Internship Executing Principles

Procedures that Performed Before Internship

Article 7. The procedures stated hereinafter:

a)      The calendar that approved for executing the internship procedure is declared at the beginning of the every academic year by the internship commission.

b)      The student, fills out two copies of “student internship form” and submit them to the Internship Commission to be approved for the management that he/she has made a pre-interview and decided to do internship at it. The internship commission examinethese forms and submits the forms that they accept to the deanship.

c)       A copy of the forms confirmed by the deanship is handed in by the student to the management that the student will do internship at.

d)      The student before at least 5 (five) workdays ago,  applies to the deanship with the confirmation letter, takes the “Internship Evaluating Document” and the “Internship Notebook” confirmed by the Faculty and starts the internship at the management.

e)      The internship commission stores the list of managements that students do internship in its own internship file.

f)       The student that will do internship indicates if he/she  is in or out  the insurance extent , if he/she is in the insurance coverage he/she hands in the his/her insurance document to the Engineering Faculty Deanship by his/her internship application.

Internship Procedures

Article 8. The Internship documents are filled out in Turkish (if it is done abroad in English),  properly with technique painting, writing and drawing rules by ink, pen or computer. The Turkish summary is attached to the files prepared in English.

Article 9. The student is supposed to answer to all the group internship questions determined by the internship commission during the internship. In the internship notebook related internship questions are answered according to the question numbers.  In the case that the related information is not given because of the confidentiality by the  authorities of the management, the student may not answer the related question by stating the reason or may choose the option of answering  the question  by her/his own knowledge, experiences.

Article 10.  The student fills out the notebook in the internship period and has management authorities to approve the needed sections in and at the end of the internship period.  It is necessary that every page of the internship notebooks should be  signed by the internship authority or the authorities of the management and the first and the last pages of the notebook should  be certificated and stamped.

After  Internship Procedures

Article 11. The intern consideration document is filled out, confirmed and put into a closed envelope. by the management  as  hidden from the student. The name, the title and the duty of the management authority who confirmed should be stated clearly on the document. The mentioned document which is in a closed envelope is sent to the faculty with the internship notebook via mail or students him/herself.

Article 12. The students shall inform the deanship about their internships finish at most five workdays after the internships end date. Also the student is supposed to give the internship related notebook and documents to the deanship till end of the second weekend of the education-teaching   term that is following the internship.

SECTION THREE

The Consideration of the Internship

Article 13. At the end of the internship; all the internship documents returned back to the deanship from the internship places, are evaluated by the internship commission and the results are reported to the deanship.

Article 14. As the result of the first  evaluating the internship of the student is accepted as successful or it is sent back to the student to be completed with the “missing documents” inscription. At the end of the given additional time the internship commission takes into consideration secondly and the last time the documents that must have been   completed, at the end of this approving procedure the internship is accepted or refused. The students whose internships are refused are supposed to repeat their internships within the following term.

SECTION FOUR

The Tasks of the Internship Commission

Article 15. All the traineeships will be done by the students are planned, considered   and executed by the internship commission. The internship commission decides about the acceptance or the rejection of the internship that is done.  The commission is formed of a president who is an academic member and two instructors chosen by the department council in the departments in which the education is at under graduate degree. The work time period for the commission members is two years. The members are possible to be chosen second times.  Instead of a member who has left before his / her work time period another member is chosen to fulfill the rest time.

Article 16. Internship commissions tasks are stated hereinafter:

a)      To declare the assigned internship places by various corporations and organizations, to consider the applications, to distribute the students to these places.

b)      To ensure  the internship consideration documents and the internship notebook to be examined  and decide the acceptance and rejection of the internship, to notice the result to the students as lists and inform the deanship to pass to the faculty records.

c)       To consider the applications of the students related to the internship and solve their problems.

SECTION FIVE

Operation

Article 17. It is operated by Gebze Institute of Technology, Engineering Faculty Deanship.

Enforcement

Article 18. This directive is enforced by 2011-2012 education year winter term.

INTERNSHIP PROCEDURE

5510 numbered Social Security and General Health Insurance Law’s 5-b article related “the students who subject  to mandatory internship in their higher education period, occupational accident and occupational disease insurance is applied” as of in the 11th article’s 6th article “the deceleration of the students who put to mandatory internship while their higher education period is done by the higher education institute that they study” are stated.

Apart from this the internship is considered as an activity to find the chance of seeing/doing the practical applications of the knowledge they learned theoretically, preparing themselves to the work life, meeting with the related sector managements and making business contacts, as a piece of students under graduate education and teaching.

Hence the students who will start the internship shall obey exactly the hereinafter procedure.

  1. The student takes the “Internship Obligation Document” from the deanship.  With this document he/she makes pre-interview with the management/managements he/she thinks to do internship. For the management he/she decided to do internship he/she fills out two copies of the “Student Internship Form” via computer and hands in to be confirmed to the internship commission. To make  the insurance input it is important that the information of whether the student is in the scope of insurance at the time is written in the internship form, the Internship Commission reviews these forms and hands in the ones they accepted to the deanship as to be confirmed.
     
  2. A copy of the forms confirmed by the deanship is handed in by the student to the firm that he/she will do internship. The firm holds a “confirmation document” in the name of the student.
     
  3. The student applies to the deanship at least five work days before the date he/she will start the internship with confirmation document and if she/he is in the scope of the insurance this document (internet output will be accepted).  After the insurance input is done, he/she takes the “Internship Consideration Document” and “Internship Notebook” confirmed by the Faculty and starts the internship in the management.
     
  4. Our students; will start doing internship solely after their insurance input is done.  The Works done in the management without the insurance input is not considered within the internship time period.
     
  5. The student who completed the internship, hands in the petition that informs about the internships finish and internship form to the Engineering Faculty deanship at most five days after the internships finish.  Besides he/she hands in the internship file that he/she prepares to the deanship to be approved at latest untill the end of the second week of the education-teaching term that is following the internship.(After this time period the internship file is not accepted and the internships  that’s internship files are not handed in due time are considered as invalid.)
     
  6. Engineering Faculty Deanship hands in the internship files as a whole  within the official document annex to the related department.
     
  7. The internship commission of the related department evaluate the internship files which are belong to that term, hands in the results as written to the Engineering Faculty Deanship at latest until deadline stated in the academic calendar.
