02 Course and Exam Schedule, PROLIZ, Additional Course Commission

• Determining the dates and times of the exams, taking into account the availability/course schedules of students and faculty members,

• Identifying suitable classrooms for exams and considering numbers for student placement,

• Taking the necessary measures to ensure that exams are conducted in a fair and orderly manner (proctor assignments, exam rules, etc.),

• Forwarding the prepared undergraduate and graduate lists to the head of the department and the institute and forwarding them to the relevant commission to be published on the web page.

03 Erasmus Commission

• Promoting participation in the Erasmus program by introducing Erasmus opportunities within the department and organizing informational events,

• Helping incoming Erasmus students integrate into the department,

• Identifying new partnerships and expanding exchange opportunities,

• Collecting feedback from students and faculty to evaluate the current status and identify areas for improvement.

04 Event, Exhibition, Board, Archive Commission

• Organizing, announcing, and conducting events such as seminars, conferences and workshops to be held within the department

• Preparing a space to exhibit student and academic studies, determining exhibition content and managing exhibition processes

• Ensuring that up-to-date information and announcements are posted on boards in and around the department

• Archiving projects, event documents and important academic content in the department and arranging them for access and use when necessary

06 Institutional Development and Quality Commission

• Carrying out the necessary work to meet internal and external data requests,

• Determining, implement, and maintain the necessary processes for the Quality Management System (QMS),

• Keeping the performance data of faculty members every 3 months regarding the department

• Conducting and evaluate unit satisfaction measurements,

• Following up on notifications received through the Complaint Management System and other platforms (e-mail, phone, etc.)

07 Alumni Relations Commission

• Planning and organize the Graduation Ceremony held by the University and Faculty,

• Coordinating with the Web Page-Social Media Committee to ensure communications and announcements for the ceremony,

•  Archiving contact information for graduating students from the department,

• Collecting feedback to assess alumni career development and satisfaction, and to analyze data to enhance department educational programs,

• Establishing and manage a communication network for department alumni and to plan social events,

• Preparing the Annual Activity Report as a committee.

Curriculum Commission

 

 

• Periodically updating the course content and adding new courses in order to improve the curriculum,

• Preparing the lists of undergraduate and graduate courses to be offered at the beginning of each semester and submitting them to the department and the Graduate School,

• Auditing of programs for compliance with quality standards and accreditation requirements, subject to accreditation and compliance requirements,

• Improving teaching methods and student experience in terms of quality of education.

09 Student Societies Commission

• To support students’ social, cultural, artistic, sports, and academic development by helping them use their time outside classes effectively.

• To make decisions on the management and supervision of student clubs, which can be established and joined by undergraduate and graduate students of GTU for professional, educational, scientific, social, artistic, cultural, and sports purposes.

• To ensure that student activities align with the purposes stated in Article 47 of the Higher Education Law (No. 2547).

• To develop methods that allow every student to participate in activities.

• To review and decide on the plans, programs, and budgets prepared by student clubs.

• To prepare a report on student activities to present to the Rector’s Office at the end of each academic year.

• To ensure that funds allocated to student clubs in the Health, Culture, and Sports Department budget are used appropriately and fairly.

• To review, monitor, and evaluate the activities, responsibilities, work reports, establishment, and registration applications of clubs according to the rules in this guideline, and to decide on warnings or, if necessary, termination of club activities.

Internship Commission

• Enhancing the internship program through regular feedback and development efforts to improve educational quality,

• Holding an internship informational meeting for students every spring semester,

• Organizing and monitor mandatory internship duties for 2nd and 3rd-year students in the department,

• Evaluating and approve the suitability of internship placements chosen by students,

• Reviewing and approve internship notebooks,

• Conducting oral exams for students if ambiguous or inconsistent information is found in their internship notebooks,

• Finalizing the list of students who have successfully completed their internships and submit it to the Department Chair via a formal letter in November each year,

• Preparing the Annual Activity Report as a committee.

• Ensure that all content related to the department, such as academic staff information, course programs, announcements, events, research projects, and other department activities, are transferred to the web environment (web page and social media) in an up-to-date and accurate manner and are regularly renewed.

• To prepare long-term content plans to increase the digital visibility of the department and to offer content suggestions that will attract the attention of the target audience.

• To promote the department visually by preparing and sharing photos, videos, and promotional materials from the events held in the department.

13 Horizontal-Vertical Transfer, Adaptation Commission

• Examining the content of the courses previously taken by students coming from other universities or different departments whether they are equivalent to the courses in the current program.

• Determining the course load of students for the adaptation period.

• Conveying the decisions of adaptation and course exemptions to the relevant institutional units such as student affairs.

• Archiving related official papers.
