Change Tracking Database

The steps of TL-0002 Process Change Management Instruction are applied in planning changes that require fundamental changes in the structure, management, and/or business conduct of processes.

FR-0149 Process Change Request and Tracking Form is used for process change planning. In this form, the definition of the relevant change, the purpose of the change, possible positive and negative effects, the responsible person, resources needed, planned change date, and change steps are defined. The form, numbered FR-0149, should be filled out by the Quality Officer of the Process, where the change will take place, and sent to our Coordination Office by e-mail, with the knowledge of the Approval Officer of the Process. The form in question is examined by the Quality Specialist and the planned change steps, responsible person, and deadlines are evaluated for compliance and, if necessary, can be returned to the Process Quality Officer and corrections can be requested. The appropriate form FR-0149 is submitted for the approval of the Quality Coordinator and/or Management Representative. Approval / Rejection decision is notified to the Quality Officer of the requesting Process by e-mail.

The approved process change is entered into the Change Tracking Database (FR-0143) by the Quality Specialist. Follow-up of the completion of the change steps is carried out by the Quality Officer of the requesting Process and the Quality Specialists of our Coordination Office. The planning/follow-up of Process Changes is discussed and decided as an agenda item at the Management Review Meeting (MDM) by the relevant Process Officers.

The Change Tracking Database (FR-0143), where process changes are tracked, can be accessed from the link below. The link is designed to be accessible to our stakeholders within GTU and the database can be viewed with an e-mail address with the extension @gtu.edu.tr. The authorization to edit the database is defined only for our Coordination Office.
