December 25, 2025 - GTU Office of Press and Public Relations Gebze Technical University (GTU) completes ten years of its Electronic Document Management System (EDMS) journey, which it set on December 7, 2015 under the slogan “From Paper to Digital.” Over the past decade, the university has fully digitalized its institutional operations, establishing a structure centered on security, speed, and efficiency in information management.
Implemented in line with its sustainability vision, the EDMS and Registered Electronic Mail (REM) integration has reduced the university’s carbon footprint while also making a direct contribution to the national economy. Thanks to the 2,792,000 pages of electronic documents generated through the system to date:
12,000 kilograms of paper have been saved. The cutting down of 205 trees has been prevented.
Secure Infrastructure and Seamless Access By eliminating the need for physical archiving, the system has transferred all processes, ranging from assignment letters and annual leave requests to letters of request and official correspondence, into the digital environment. Through this transformation, authorized users are provided with instant and multiple access to documents, while physical deterioration and loss of records are prevented. The digital infrastructure, which guarantees data security against potential disaster scenarios, has placed GTU’s institutional memory under protection.
A Digital Memory Extending Into the Future Carried out with the strong support of the university administration, this process was led by İbrahim Arslan, who played a pioneering role through his contributions to integrating the system into the institutional structure, along with the dedicated efforts of all staff involved. Their commitment has laid the foundation for GTU’s modern and efficient working environment today. Maximizing savings in paper, time, and labor, GTU aims to further develop and sustain its digitalization vision in the decades ahead. |
