What is Traineeship Mobility? It is the traineeship by an enrolled student of our university at an enterprise, a research institute, a laboratory, or an institution or organization related to his/her academic field of study abroad.
The traineeship must be conducted in a sector related to the student's current academic department.
Provided that you were a student at the time of application, traineeship mobility may be carried out after graduation.
APPLICATION ADDRESS Erasmus+ traineeship mobility application procedures will be carried out on TURNA PORTAL.
Who Can Apply? GTU Exchange Programs Office announces for traineeship mobility once a year and receives applications for the selection of students who wish to carry out traineeship mobility.
Traineeship activities can be carried out in each class during the study period and within 12 months after graduation for students in the final year of their study program.
For traineeship activities to be carried out after graduation, the student application must be made before the student graduates. Students who have graduated or whose graduation procedures have started cannot apply.
Requirements for Application 1. To be an undergraduate, graduate, or doctoral student of Gebze Technical University
To be a graduate student who is at the course or thesis stage, or
to be an evening education student is not an obstacle to apply for the Erasmus+ program. Evening education students will pay their semester tuition fees to GTU in case of mobility.
Double major students may apply for mobility for only one major in the same application period.
Foreign language preparatory class and scientific preparatory program (remedial year) students cannot benefit from the Erasmus+ program.
2. To have a minimum of 2.20/4.0 GTU GPA (for undergraduate students) and a minimum of 2.5/4.0 (for graduate students)
3. To score a minimum of 70 points in the language exam to be administered by the Department of Foreign Languages. For other exams accepted as equivalent, see the Language Exam Score heading.
4. The traineeship activity can be carried out during the period of study or after graduation, provided that the student continues to be a student at the time of application. Post-graduation traineeships must be completed within 12 months from the date of graduation, provided that it does not exceed the end date of the Project.
5. Students of departments that do not have a traineeship/internship obligation can also apply for mobility, but the traineeship sector and subject must be related to the department in which the student is enrolled.
6. The organizations that will host the traineeship can be enterprises, training centers, research centers, higher education institutions and other organizations that meet the definition of enterprise specified in the Erasmus+ Program Guide. The traineeship sector and subject must be related to the department in which the student is enrolled.
The following organizations are not eligible to carry out higher education traineeship activities under Erasmus+ -European Union institutions and EU agencies (https://europa.eu/european-union/about- eu/institutions- bodies_en) -Organizations such as the National Agency, etc. that run EU programs.
7. If the student has already benefited from study or traineeship activities within the current education level, the total duration with the new activity should not exceed 12 months (24 months for integrated PhD).
A student who renounces his/her Erasmus+ right by performing the cancellation procedure for any reason cannot transfer his/her right to another/next academic year. The student can apply to be an Erasmus+ student in the following application periods, but will be subject to the application and selection process again.
Documents Required for Application Language Exam Score Students applying for the Erasmus+ Program take an English exam organized by GTU Department of Foreign Languages. The exam consists of questions to measure reading, writing, listening and speaking skills. As a result of the exam, the student is expected to score at least 70 points to be considered successful. However, students who have obtained a minimum score of 70 from YDS / YDS / YÖKDİL / YÖKDİL exam within the last three years and equivalent scores from equivalent exams (TOEFL IBT, etc.) (see YÖK equivalency table) are exempted from the foreign language exam when they submit these documents.
IELTS Exam is not accepted.
The Exchange Programs Office does not have information about foreign language exam questions and content, and exam samples from previous years are not available from our office.
The Exchange Programs office may not organize an English exam in every announcement. It will be useful for our candidates who will apply for our interim / supplementary announcements to obtain a score from one of the appropriate exam types mentioned above for their English grade.
GTU Erasmus exam results from previous years are not valid.
Students cannot declare a language exam result and take the Erasmus foreign language exam at the same time. They must make a preference at the time of application.
Transcript Students who do not yet have a GPA on their GTU transcripts will upload their graduation certificates or transcripts from the previous level of education that they used when applying to our university.
Students who have a GPA at GTU do not need to upload their transcripts; their GPA is automatically calculated through the application system.
Students are responsible for checking the accuracy of their GPA reflected in the system, and in case of any inaccuracies; they should update their GPA from the student-staff approval tab on the application portal. After the updated GPA is approved by our office, students will be able to complete their applications.
Documents Required for Additional Points and/or Additional Grant Support Students are required to upload official documents showing their status that will enable them to receive additional points and/or additional grants within the scope of the evaluation criteria and additional grant support.

Acceptance Letter from the Institution where the traineeship will be done Submitting an acceptance letter during the application (uploading it to the application system) provides additional points to the student.
Students who apply without an acceptance letter and are successful must submit their acceptance letters within a time interval to be announced with the results. The application of the students who cannot submit a letter within the announced period will be invalid.
In the acceptance letter, the subject and scope of the traineeship, the start and end dates of the traineeship and the contribution of the traineeship to the student should be specified. In addition, it must be written on the letterhead of the institution, signed and sealed, and the title of the signing official must be specified.
The place of traineeship and the subject of the traineeship must be approved by your department. The traineeship letter must have the name, surname and initials of the authorized person from your department. Un initialed acceptance letters will not be accepted even if attached to the application form.
Evaluation Criteria
1 Children of martyrs and veterans (Combat veterans and their spouses and children, spouses and children of war martyrs, as well as the children of "public officials who were injured, disabled, killed or killed as a result of terrorist acts while performing their duties at home or abroad or due to the performance of these duties even if their titles have been removed" according to Article 21 of the Anti-Terrorism Law dated 12.04.1991 and numbered 3713. Pursuant to Article 7 of the Decree Law No. 667 dated July 23, 2016, the spouses and children of those who lost their lives due to the coup attempt and terrorist act carried out on July 15, 2016 and the acts that are a continuation of this act, or the disabled civilians and their spouses and children. In order for these students to benefit from + 15 points, they must upload a copy of the Martyr / Veteran Family card issued by the Ministry of Family, Labor and Social Services to the application platforms during their application.
2 Disabled people with at least 50% disability rate documented by the Disability Health Board report in the "Regulation on Disability Assessment for Adults" published in the Official Gazette dated February 20, 2019 and numbered 30692. They must submit the Disability Health Board report.
3 Those who have a protection, care or shelter decision by the Ministry of Family and Social Services in accordance with Law No. 2828. Students with a protection, care or shelter decision within the scope of Child Protection Law No. 5395. For prioritization, the student must submit a letter from the Ministry of Family and Social Policies stating that there is a protection, care or shelter decision in accordance with Law No. 2828.
4 It is applied for one time only. If selected, it will not be applied in the student's subsequent applications. If the student is not selected, the additional points will continue to be applied in subsequent applications.
5 Traineeships that include experience in one or more of the following activities: digital marketing (e.g. social media management, web analytics), digital graphic, mechanical and architectural design; application, software and code or website development; installation, maintenance and management of IT systems and networks, cyber security, data analytics, data mining and visualization; programming, robotics and artificial intelligence training. This does not include general customer service, demand generation, data entry or routine office tasks.
* If a student who has previously benefited from mobility applies for both study and traineeship activities at the same time, "-20" points will be deducted from the mobility type he/she previously benefited from and "-10" points will be deducted from the second mobility type he/she applies for.

Department Quotas Each department is allocated 1 undergraduate and 1 graduate quota, and applications exceeding these quotas and vacant quotas will be distributed according to the estimated grant budget and point ranking.
Things to Consider During the Application Process The declaration at the time of application will be the basis, and no preference, information change, etc. will be made after the application deadline.
Erasmus+ traineeship mobility is carried out for a minimum of 2 months. The duration of the traineeship cannot exceed 12 months, and the International Exchange Programs Office undertakes to provide grants for 2-3 months (may change in each announcement period) of the traineeship to the candidates who will be entitled to receive grants as a result of the grant distribution. In addition, the grant distribution results will be finalized after the National Agency announces the grant amounts to be allocated to the universities, and this information should be checked again during each announcement period.
Students who are declared successful at the end of the selection process are candidate students, and in order for the student to be eligible to participate in the Erasmus activity, the student will need to receive an acceptance certificate from the institution he/she will go to after the GTU candidacy is finalized and complete the visa process.
Evaluation and Selection Results
Starting from the student with the highest score, a downward ranking is made.
GRADE POINT AVERAGE: 50%
In addition to these basic criteria, our announcements may include other score increase or decrease criteria depending on National Agency updates. The evaluation results are announced in the Announcements section of our Office's web-address after the completion of the foreign language exam.
After the Erasmus Student Traineeship Mobility selection results are announced, a meeting is held with the successful students to provide detailed information and training about the next process. It is mandatory for students who have become entitled to traineeship mobility to attend the informative meetings.
According to the available department quotas, placement is made downwards starting from the student with the highest score.
Evaluation results are announced on the GTU International Exchange Programs Office website.
After the announcement of the selection result, the student has the right to renounce or waive his/her right within a date range to be announced with the results.
If the right is waived after this date without force majeure, -10 points will be applied in subsequent applications.
For objections to the language exam results, a petition should be submitted to the Department of Foreign Languages; for objections to the general election results, a petition should be submitted to the International Exchange Programs Office within 5 days after the results are announced.
Erasmus+ Grants After the grant distribution results are finalized, a waiver period will be granted to the students who are eligible for mobility without grant. Students who waive within the period to be determined will not be deducted -10 points in their next applications.
Students who apply and are entitled to benefit from the program but cannot receive a grant due to insufficient grant quota can use their acquired rights without a grant.
Grant support is provided to students to cover a part of their expenses arising from their stay abroad during their activity period abroad. The grants are not intended to cover all of the costs related to the activity, but only as a contribution.
Grant Amounts for Traineeship Mobility:
Travel Grant Amounts for Traineeship Mobility In order to contribute to the travel costs of students, the distance calculator provided by the European Commission is used to determine the km between the starting point of the mobility and the place where the activity takes place and the travel grant is calculated using the table below.
The grant equivalent of the kilometers in the distance band calculator in the table below is the round-trip figure, which is not multiplied by two.
As a general rule, for distances under 500 km, participants are required to travel by low emission transportation.
Additional Grant Support Disadvantaged participants will be eligible for Additional Grant Support in addition to the grant to which they are entitled. In order to be eligible for the grant, a disadvantaged participant is defined as an individual who has limited economic and social opportunities and meets the following sub-categories
1. Those who have a protection, care or shelter decision by the Ministry of Family and Social Services in accordance with Law No. 2828
2. Students under Law No. 5395 on Child Protection who have been given a protection, care or shelter decision
3. Orphan/death pension recipients
4. Spouses and children of martyrs/veterans and veterans themselves7
5. Those who have been granted a needy pension to themselves or their family (it is sufficient to submit a document proving that the student has received financial support from institutions such as Municipalities, public institutions and organizations, Ministries, Social Assistance and Solidarity Foundations, General Directorate of Foundations, Red Crescent, AFAD at the time of Erasmus application.

7. Students, one of whose parents or guardian receives a disabled or needy pension within the scope of the Law No. 2022 dated 01.07.1976 on the Granting of Pensions to Needy, Powerless and Destitute Turkish Citizens Over 65 Years of Age and Disabled and Needy Turkish Citizens. 8. Those who themselves or their 1st degree relatives receive disaster victim assistance from AFAD.
6 Green Travel; opportunities such as green travel are encouraged for mobility students to reduce carbon emissions and the environmental footprint of mobility. Green travel is defined as travel using low-emission means of transportation such as bus, train or carpooling for the main part of the trip.
7 In addition to combat veterans and their spouses and children, spouses and children of war martyrs, as well as spouses and children of "public officials who have been injured, disabled, killed or killed as a result of terrorist acts while performing their duties at home or abroad or due to the performance of these duties even if their titles have been removed" according to Article 21 of the Anti-Terrorism Law No. 3713 dated 12/4/1991 and Article 7 of the Decree Law No. 667 dated July 23, 2016. Additional Grant Support will be provided in the following amounts according to the type of mobility to students who meet the above scope, upon their request and provided that they document this situation:
Credit and Dormitories Institution scholarships and similar scholarships, other grants, aids and scholarships in the form of merit scholarships, one-time aids are not accepted within the scope of this financial aid.
Documents to be prepared by the student before departure - Traineeship invitation letter: It should be a letter that clearly expresses the answers to the questions of who, where, when and how the traineeship will be done.
The place of traineeship and the subject of the traineeship must be approved by your department. The name-surname and approval initials of the authorized person from your department should be on the traineeship letter.
Before starting the procedures, make sure that the dates of your acceptance letter cover at least 60 days and meet the requirements of the consulate in visa-related procedures.
- Traineeship Learning Agreement: After filling out the document found in the Important Documents and Information section of our website, it is sent to our office by e-mail. After approval, it is submitted for signature.
- Letter for Request for Traineeship Substitution / Notification: (for undergraduate students) (It is not a compulsory traineeship substitution procedure) The letter of request for traineeship substitution submitted to the department for the Faculty Administrative Board Decision is available in the documents section of our website. The petition is a notification to the academic units that you are about to complete your procedures and that you will carry out the traineeship, and the resulting YKK decision shows that you are academically approved to do an Erasmus traineeship. It is a process required by the Erasmus Office. For compulsory traineeship procedures, you need to contact your department traineeship commission separately.
- Travel health insurance (must include personal liability and accident clauses!)
- Copy of Euro passbook (can be opened from any branch of Halkbank)
-Visa Information about all visa-related procedures and documents should be obtained from the relevant Consulate or intermediary company. Visa documents such as "grant letter" or "letter indicating that you have been selected for mobility with Erasmus" etc. are prepared by our office. After you make your visa appointment, please request your visa letter from our office by e-mail with your current invitation letter.
- Mobility Agreement : When all documents are submitted to the office (by e-mail), the office prepares the student's mobility contract. The student submits the copies of the documents to the office and the prepared contract is signed mutually. Students who prefer to go without a grant must also sign this contract. Our student's grant will be credited to his/her account after signing this contract and he/she can realize his/her mobility.
Erasmus+ Traineeship Grant When calculating the first installment of the grant, unless otherwise stated in the announcement, the monthly grant amounts according to the date range and countries in the student's acceptance letter (planned to stay) are taken into account. The grant amounts and country groups vary from year to year, but are determined as 600 to 750 Euros per month.
During the departure of our students, 80% of their calculated grants are deposited into their accounts.
The remaining 20% of the grant, which is the remaining amount of the calculated grant, is deposited into the account of the student who submits the documents on return. It is checked whether our early returning student has performed 60 days of traineeship mobility, which is the minimum period. 60 days minimum mobility period is not a problem, the traineeship period and the grant amount are recalculated and the remainder of the grant is deposited. Unless there is a force majeure, the activity of the student who does not conduct a traineeship for a minimum of 60 days is canceled and the refund of the grant paid to the student is requested.
What to do upon returning from traineeship: After completing the traineeship mobility, the student fills in the post-traineeship certificate of participation in the documents on our website and gets it approved, and then ensures that it is sent to our office via e-mail by the institution where he / she did his / her traineeship. When he/she returns, he/she submits the original documents to our office.
The questionnaire sent by the European Union Mobility Tool must be completed.

The remaining grant payment of the student who fulfills his/her obligations by submitting his/her documents after his/her return is deposited into his/her account.
Undergraduate students who will count their traineeships as compulsory traineeship submit the documents requested by their departments to the traineeship commissions. Whether our undergraduate students' traineeships are compulsory or optional, a letter stating that they have successfully completed the traineeship is sent to their departments by our office.
* Compulsory Traineeship Substitution Procedures You can do your Erasmus traineeship as a post-graduation traineeship, optional/voluntary traineeship or compulsory traineeship. Post-graduation students do not need to make any notification to their departments or faculties.
Optional traineeships should be notified to your department with our letter of request for traineeship substitution, as they will be added to the transcript as information even if they are not processed as credits. Some of our departments act in the direction of passing voluntary traineeships through the traineeship commission.
For compulsory traineeships, you should consult with your Department Internship Commission. Each department has different practices from each other. Each department may require different documents at different times. Students who want to count their traineeship to compulsory traineeship will benefit from meeting with their department internship commissions during their Erasmus applications.
The student has to follow the compulsory traineeship substitution procedures himself/herself and the Erasmus office does not have any responsibility in this regard.
**Insurance Students who will participate in Erasmus+ traineeship mobility are required to have a full comprehensive health insurance that includes liability insurance that covers the damages they may cause in the workplace and accident insurance coverage related to the students' duties (at least the damages suffered by the student in the workplace).
STUDENTS WHO DO NOT HAVE LIABILITY AND ACCIDENT INSURANCE COVERAGE IN THEIR INSURANCE POLICIES WILL NOT BE APPROVED TO PARTICIPATE IN THE TRAINEESHIP MOBILITY AND GRANT AGREEMENTS WILL NOT BE CREATED!
What must the Traineeship Mobility Invitation/Acceptance Letter look like? Obtaining a valid invitation letter from an institution/company in a country within the scope of Erasmus+ and submitting it at the time of application allows you to get additional points and your Erasmus+ Traineeship Mobility application will be evaluated.
It is the responsibility of our students to find a traineeship institution abroad and obtain an invitation letter from the institution in question.
About the Format and Content of the Invitation Letter; 1) Your invitation letter must be printed on the letterhead of the institution/company you have contacted for the traineeship.
(What is letterhead: The type of paper used in official correspondence of offices and companies is called letterhead. Pre-formatted paper with the logo, address and contact information of the company)
2) It must be signed by an authorized person at the institution where you will do your traineeship
3) It must be stamped with a stamp or seal.
(What is a stamp: A stamp is a tool used by companies or individuals to indicate and show to whom a document belongs, that the document has been approved and is official. It may contain information such as the name of the approving person, his/her position, address, etc.)
4) In your invitation letter;
a) Your name and surname,
b) In which department of which academic unit of Gebze Technical University you are a student,
c) In which date range (specifying day-month-year) you will do your traineeship in the relevant institution,
(Erasmus+ traineeship activity cannot be shorter than 2 months, weekends are included in the working day. Example date range July 10, 2024 - September 11, 2024)
d) You will conduct your traineeship within the scope of "Erasmus+ Traineeship Mobility",
e) What tasks the organization in question expects you to perform and in which department (if specific) you will be doing your traineeship.
f) The place of traineeship and the subject of the traineeship must be approved by your department. The traineeship letter must have the name, surname and approval initials of the authorized person from your department.
Important Notes: The content of your invitation letter must clearly indicate that the traineeship you will be conducting will provide you with professional experience related to your field of study and will involve professional practice. Activities such as research or thesis work cannot be carried out under the Erasmus+ Traineeship Mobility program.
It is not possible to conduct traineeships at EU institutions under Erasmus+.
The invitation letter must be in English.
A legible version of the invitation letter sent to you by email from the institution where the traineeship will take place must be submitted.
