Outgoing Student Traineeship Mobility

 

 

 What is Traineeship Mobility?

It is the internship conducted abroad by an enrolled student of our university at an enterprise, a research institute, a laboratory, or an institution or organization related to his/her academic field of study.

 

The traineeship must be conducted in a sector related to the student's current academic department.

 

Provided that you were a student at the time of application, traineeship mobility may be carried out after graduation.

 

 

APPLICATION ADDRESS

Erasmus+ traineeship mobility application procedures must be carried out via the TURNA PORTAL.

 

Who Can Apply?

GTU Exchange Programs Office announces for traineeship mobility once every year and receives applications for the selection of undergraduate, master's, and doctoral students who wish to carry out traineeship mobility.

 

During the study period, students in any year and those in the final year of their study programs may undertake a traineeship activity within 12 months after graduation.

 

For traineeship activities to be carried out after graduation, the student's application must be made before the student graduates. Students who have graduated or whose graduation procedures have started cannot apply.

 

 

Requirements for Application

1. To be an undergraduate, graduate, or doctoral student at Gebze Technical University

 

To be a graduate student who is at the course or thesis stage or

 

To be an evening education student is not an obstacle to apply for the Erasmus+ program. Evening education students will pay their tuition fees per semester to GTU in case of mobility.

 

Double major program students may apply for mobility for only one major in the same application period.

 

Foreign language preparatory class and scientific preparatory program (remedial year) students cannot benefit from the Erasmus+ program.

Students who suspend their enrollment cannot participate in study mobility or compulsory traineeships during the period of suspension. In the case of optional traineeships, the decision on whether a student with suspended enrollment may benefit from mobility is at the discretion of the higher education institution. Applications for study or traineeship mobility can be submitted during the suspension period.

 

2. To hold a minimum of 2.20/4.0 (for undergraduate students) and a minimum of 2.5/4.0 (for graduate students) GTU CGPA

 

3. To score a minimum of 70 points in the language exam to be conducted by the Department of Foreign Languages. For other exams accepted as equivalent, see the Language Exam Score heading.

 

4. The traineeship activity may be carried out during the period of study or after graduation, provided that the student continues to be a student at the time of application. Post-graduation traineeships must be completed within 12 months from the date of graduation, provided that it does not exceed the end date of the Project.

 

5. Students of the departments that do not require traineeships may also apply for mobility, but the traineeship sector and subject must be related to the department in which the student is enrolled.

 

6. The organizations that will host the traineeship can be enterprises, training centers, research centers, higher education institutions, and other organizations that meet the definition of a business specified in the Erasmus+ Program Guide. The traineeship sector and subject must be related to the department in which the student is enrolled.

 

The following organizations are not eligible to carry out higher education traineeship activities under Erasmus+:

-European Union institutions and EU agencies (https://europa.eu/european-union/about- eu/institutions- bodies_en)

-Organizations such as the National Agency, etc. that run EU programs

In order to establish partnerships with Horizon Europe, traineeship activities can also be carried out within the scope of research projects funded by the Horizon Europe program, provided that they comply with the prohibition on double funding.

 

7. If the student has already benefited from study or traineeship activities within their current education level, the total duration with the new activity must not exceed 12 months (24 months for integrated PhD).

 

A student who renounces his/her right to Erasmus+ by performing the cancellation procedure for any reason cannot transfer his/her right to another/next academic year. The student may apply to be an Erasmus+ student in the following application periods, but will be subject to the application and selection process again.

 

 

Documents Required for Application

Language Exam Score

Students applying for the Erasmus+ Program sit an English exam organized by GTU's Department of Foreign Languages. The exam consists of questions to assess reading, writing, listening, and speaking skills. As a result of the exam, the student is expected to score at least 70 points to be deemed successful. However, students who have obtained a minimum score of 70 in the YDS /E-YDS / YÖKDİL / E-YÖKDİL exam within the last three years and equivalent scores from equivalent exams (TOEFL IBT, etc.) (see YÖK equivalency table) are exempted from the foreign language exam when they submit these documents.

 

IELTS Exam is not accepted.

 

The Exchange Programs Office does not have information about foreign language exam questions and content, and exam samples from previous years are not available from our office.

 

Not every time an announcement is made by the Exchange Programs Office may an English exam be organized. It will be useful for our candidates who will apply for our interim / additional announcements to obtain a score from one of the appropriate exam types mentioned above for their English exam mark.

 

GTU Erasmus exam results from previous years are not valid.

 

Students cannot declare a language exam result and sit the Erasmus foreign language exam at the same time. They must make a preference at the time of application.

 

 

Transcript

Students who do not yet have a GPA shown on their GTU transcripts must  upload their graduation certificates or transcripts from the previous level of education that they used when applying to our university.

 

Students who have a GTU GPA do not need to upload their transcripts; their GPA is automatically retrieved through the application system.

 

Students are responsible for checking the accuracy of their GPA reflected in the system, and in case of any incorrect GPAs, they must update their GPA from the student-staff approval tab on the application portal. After the updated GPA is approved by our office, students will be able to complete their application.

 

 

Documents Required for Additional Points and/or Additional Grant Support

Students are required to upload during application the official documents showing their status that will enable them to receive additional points and/or additional grants within the scope of the evaluation criteria and additional grant support.

Letter of Acceptance Received from the Place of Traineeship

Submitting a letter of acceptance during the application (uploading it to the application system) provides additional points for the student.

 

Students who apply without a letter of acceptance and are successful must submit their letter of acceptance within a certain period of time to be announced with the results. The applications by students who fail to submit a letter within the announced period will be deemed invalid.

 

In the letter of acceptance, the subject and scope, the start and end dates, and the contribution of the traineeship to the student's development must be stated. In addition, it must be printed on the letterhead of the institution, signed and sealed, and the title of the signing official must be indicated.

The place of traineeship and the subject of the traineeship must be approved by your department. The traineeship letter must include the name, surname, and the signature of approval of the authorized person from your department. Letters of acceptance without a signature of approval will not be accepted even if added to the application form.

Children of martyrs and veterans (Combat veterans and their spouses and children, spouses and children of war martyrs, as well as the children of "public officials who were injured, disabled, killed, or killed as a result of terrorist acts while performing their duties at home or abroad or due to the performance of these duties even if their titles have been removed" according to Article 21 of the Anti-Terrorism Law dated 12/04/1991 and numbered 3713. Pursuant to Article 7 of the Decree Law No. 667 dated July 23, 2016, the spouses and children of those who lost their lives due to the coup attempt and terrorist act carried out on July 15, 2016 and the acts that are a continuation of this act, or the disabled civilians and their spouses and children. In order to benefit from +15 points, such students must upload a copy of the Martyr / Veteran Family Card issued by the Ministry of Family, Labor and Social Services of the Republic of Türkiye to the application platforms during their application.

 

People with at least 50% disability rate as certified by the Disability Health Board report in the "Regulation on Disability Assessment for Adults" published in the Official Gazette dated February 20, 2019 and numbered 30692. They must submit the Disability Health Board Report.

 

Those who have a protection, care, or shelter decision by the Ministry of Family and Social Services in accordance with the Law No. 2828. Students with a protection, care, or shelter decision within the scope of the Child Protection Law No. 5395. For prioritization, the student must submit a letter from the Ministry of Family and Social Policies stating that there is a protection, care, or shelter decision about them in accordance with the Law No. 2828.

 

It is applied for one time only. If selected, it will not be applied in the student's subsequent applications. If the student is not selected, the additional points will continue to be applied in subsequent applications.

 

Traineeships that involve one or more of the following activities are considered within this scope: digital marketing (e.g. social media management, web analytics), digital graphics, mechanical and architectural design; application, software, and code or website development; installation, maintenance, and management of IT systems and networks, cyber security, data analytics, data mining and visualization; programming, robotics and artificial intelligence training. General customer services, generation of requests, data entry, or routine office duties are not considered within this scope.

 

* If a student who has previously benefited from mobility applies for both study and traineeship activities at the same time, "20" points will be deducted from the mobility type he/she previously benefited from and "10" points will be deducted from the second mobility type he/she is applying for.

 

 

Department Quotas

Each department is allocated 1 undergraduate and 1 graduate quota, and applications exceeding these quotas and remaining quotas will be distributed according to the estimated grant budget and point ranking.

 

 

Things To Consider During the Application Process

The declaration at the time of application will be taken as the basis, and no changes to preferences, letter of acceptance, information etc. will be made after the application deadline.

 

Erasmus+ traineeship mobility is carried out for a minimum of 2 months. The duration of the traineeship cannot exceed 12 months, and the International Exchange Programs Office undertakes to provide grants for 2-3 months (subject to change for each announcement period) of the traineeship to the candidates who will be entitled to receive grants as a result of the grant distribution. In addition, the grant distribution results will be finalized after the National Agency announces the grant amounts to be allocated to the universities, and this information mıust be checked again during each announcement period.

 

Students who are declared successful at the end of the selection process are candidate students, and in order for the student to be eligible to participate in the Erasmus activity, the student will need to receive a letter of acceptance from the institution he/she will go to complete the visa process after the GTU candidacy is finalized.

 

 

Evaluation and Selection Results
Students who have uploaded their application documents to the system in full, who have been successful in the foreign language exam or who have certified their foreign language proficiency level are ranked by weighted scoring according to the following criteria.

FOREIGN LANGUAGE SCORE: 50%

 

In addition to these basic criteria, our announcements may include other point increase or decrease criteria depending on the National Agency updates.

Placements are carried out from the student with the highest score downward, based on the current department quotas.

The evaluation results are announced on the GTU International Exchange Programs Office web page.

 

After the Erasmus Student Traineeship Mobility selection results are announced, a mandatory meeting is held with the successful students, where detailed information and training about the next steps are provided.

 

After the announcement of the selection results, the student has the right to withdraw within a specified time frame, which will be announced along with the results.

 

After this date, in case of waiver of rights without force majeure, a deduction of 10 points will be applied in subsequent applications.

 

Objections to the language exam results must be submitted to the Department of Foreign Languages Department, and objections to the general selection results must be submitted to the International Exchange Programs Office with a a letter of objection within 5 days following the announcement of the results.

 

 

Erasmus+ Grants

After the grant distribution results are finalized, students who are confirmed to have earned the right to mobility without a grant will be given an additional waiver period. Students who waive their rights within the specified period will not receive a 10-point deduction in their subsequent applications.

 

Students who have applied and been deemed eligible for the program, but could not receive a grant due to limited grant quotas may exercise their earned rights without a grant.

 

Grant support is provided for students to cover a part of their expenses arising from their stay abroad during their activity period abroad. The grants are intended not to cover all of the costs related to the activity, but only as a contribution.

Travel Grant Amounts for Traineeship Mobility

In order to contribute to the travel costs of students, the distance calculator provided by the European Commission is used to determine the km between the starting point of the mobility and the place where the activity takes place, and the travel grant is calculated using the table below.

 

The grant equivalent of the kilometers in the distance band calculator in the table below is the round-trip figure, which is not multiplied by two.

As a general rule, for distances under 500 km, participants are required to travel by low-emission transportation.

 

Additional Grant Support

Disadvantaged participants will be eligible for Additional Grant Support in addition to the grant to which they are entitled. In order to be eligible for the related grant, a disadvantaged participant is defined as an individual who has limited economic and social opportunities and meets the following sub-categories:

 

1. Those who hold a protection, care, or shelter decision by the Ministry of Family and Social Services in accordance with the Law No. 2828

 

2. Students under the Law No. 5395 on Child Protection for whom a protection, care, or shelter decision has been made

 

3. Orphan/death pension recipients

 

4. Spouses and children of martyrs/veterans and veterans themselves7

 

5. Those who have been granted a social pension for indigent citizens to themselves or their family (it is sufficient to submit a document proving that the student has received financial support from institutions such as Municipalities, public institutions and organizations, Ministries, Social Assistance and Solidarity Foundations, General Directorate for Foundations, Red Crescent, AFAD at the time of their Erasmus application.

 

6. People with at least 50% disability rate as certified by the Disability Health Board report in the "Regulation on Disability Assessment for Adults" published in the Official Gazette dated February 20, 2019 and numbered 30692

 

7. Students, one of whose parents or guardian receives a social pension for people with disabilities or indigent citizens within the scope of the Law No. 2022 dated 01/07/1976 on the Granting of Pensions to Indigent, Powerless, and Orphaned Turkish Citizens Over 65 Years of Age and to Disabled and Indigent Turkish Citizens

 

8. Those who themselves or their 1st degree relatives receive disaster victim aid from AFAD

 

6 In the case of Green Travel, students participating in mobility are encouraged to use options that reduce carbon emissions and the environmental footprint of mobility. Green Travel is defined as travel where the main part of the travel is conducted using low-emission transportation methods such as buses, trains, or carpooling.

Additional Grant Support may be provided in the following amounts according to the type of mobility for students who meet the above scope, upon their request and provided that they certify this situation:

Credit and Dormitories Institution scholarships and similar scholarships, other grants, aids, and scholarships in the form of merit scholarships, one-time payments are not considered within the scope of this financial aid.

 

 

Documents Required To Be Prepared Before Departure and Important Notes 

Students who have been granted the right to participate in the traineeship mobility program must attend the "Training Meeting on Traineeship Mobility". This meeting provides detailed information on the documents and procedures listed below.

 

-Traineeship Invitation Letter: It must clearly state who will be conducting the traineeship, where, when, and how.

 

The traineeship location and subject must be approved by your department. The traineeship letter must include the full name and the signature of approval of the authorized person from your department.

 

Before starting the procedures, it must be ensured that the dates on your letter of acceptance cover at least 60 days and meet the consulate's requirements for visa-related processes.

 

- Traineeship Learning Agreement: (Currently Being Updated)

After completing the document available in the Important Documents and Information section of our web page, it must be sent to our office via email for review. Once approved, it is to be submitted for signature.

 

- Letter of Request for Traineeship Recognition / Notification:

(for undergraduate students) (It is not the compulsory internship recognition procedure.)

The letter of request for traineeship recognition submitted to the enrolled department can be found in the Documents section of our web page. This letter serves as a notification to academic divisions that you are about to complete the necessary procedures and will proceed with your traineeship, allowing a Faculty Executive Board Decision (YKK) to be issued. The issued YKK decision confirms, from an academic standpoint, that your Erasmus traineeship is approved. This is required by the Erasmus Office. For compulsory procedures, you must consult your department’s internship committee separately.  

A student applying from a double major program can only have their traineeship recognized for the major from which they applied.

  

-Travel health insurance (must include personal liability and accident coverage!)      

 

-Copy of Euro bank account passbook (an account can be opened from any branch of Halkbank)

 

-Visa: All information regarding visa procedures and required documents must be obtained from the relevant consulate or intermediary firm. Any documents that may be requested as part of the visa application, such as the "grant letter" or a "letter confirming your selection for Erasmus mobility," can be obtained from the Turna Portal system and will be certified by our office. After scheduling your visa appointment, if you request a visa support letter from our office via e-mail, including your updated invitation letter, our office will assist you accordingly.

 

-Mobility Agreement: Once all documents are submitted to the office (via e-mail), the office prepares the student's mobility agreement. The student submits copies of their documents to the office, and the prepared agreement is signed by both parties. After the agreement is signed, the student's grant will be transferred to their account, and the student can proceed with their mobility. In cases of mobility without a grant, it is still mandatory to sign this agreement.

 

 

Erasmus+ Traineeship Grant

When calculating the first installment of the grant, unless otherwise specified in the announcement, the date range mentioned in the student's letter of acceptance (for the planned stay) and the countries will be considered, along with the monthly grant amounts for each country. The grant amounts are set between 600 and 750 Euros per month, based on the country groups.

 

80% of the student's total calculated grant will be transferred to their account before the mobility begins.  

 

Once the mobility is completed and the student submits their documents, the remaining 20% of the calculated grant will be transferred to their account. If a student returns early, it will be checked whether they have completed the required minimum of 60 days for the traineeship mobility. For students who have no issues with the 60-day minimum mobility duration, their traineeship period and grant amount will be recalculated, and the remaining grant balance will be deposited into their account.

Unless there is force majeure, the mobility of a student who does not complete the minimum 60 days of traineship or fails to submit their traineeship completion documents will be canceled, and the grant that has been paid to them will be requested for return.

 

What To Do After Completing the Traineeship

After completing the traineeship mobility, the student must fill out the post-traineeship participation certificate available in the documents section of our web page and have it approved. The certificate must then be sent to our office via e-mail by the institution where the traineeship was conducted.

 

The questionnaire sent by the European Union Mobility Tool must be completed.

 

Submits the documents such as questionnaire, evaluation letter, photograph, video etc. that may be requested by the office to the office.

 

After returning and submitting the required documents, the student who has fulfilled their obligations will have the remaining grant payment transferred to their account.

 

Undergraduate students who wish to have their traineeships recognized as compulsory internships must submit the documents requested by their departments to the internship committees. Regardless of whether the traineeship is compulsory or optional, an official letter confirming the successful completion of the traineeship will be sent to the departments by our office.

 

 

*Compulsory Internship Recognition Procedures

You can complete your Erasmus traineeship as a post-graduation internship, optional/voluntary internship, or compulsory internship. Students completing their internship after graduation do not need to make any notifications to their department or faculty.

 

Optional internships must be notified to your department with the letter of request for internship recognition, as they will be added to the transcript as information even if they are not processed as credits. Some of our departments may also choose to have voluntary internships approved by the internship committee.

 

For compulsory internships, students must consult their Departmental Internship Committee. Each department has different procedures and may require different documents at different times. Students who wish to have their traineeship recognized as a compsulsory internship are advised to discuss this with their Departmental Internship Committee during the Erasmus application process.

 

The student has to follow the compulsory internship recognition procedures himself/herself and the Erasmus office does not have any responsibility in this regard.

 

 

**Insurance

Students who will participate in Erasmus+ traineeship mobility are required to have a full comprehensive health insurance that includes a liability insurance that covers the damages they may cause in the workplace and an accident insurance coverage related to the their duties (at least the damages suffered by the student in the workplace).

 

STUDENTS WHO DO NOT HAVE A LIABILITY AND ACCIDENT INSURANCE COVERAGE IN THEIR INSURANCE POLICIES WILL NOT BE APPROVED TO PARTICIPATE IN THE TRAINEESHIP MOBILITY AND  THEIR GRANT AGREEMENTS WILL NOT BE MADE!

 

 

What Must the Traineeship Mobility Invitation Letter/Letter of Acceptance Look Like?

Obtaining a valid invitation letter from an institution/company in a country within the Erasmus+ program and submitting it during the application process will earn you additional points and ensure that your Erasmus+ Traineeship Mobility application is considered for evaluation.

 

It is the student's responsibility to find a traineeship institution abroad and obtain an traineeship invitation letter from the relevant institution.

 

 

About the Format and Content of the Invitation Letter:

1) Your invitation letter must be printed on the official letterhead of the institution/company you have contacted for the traineeship.

 

(Letterhead refers to a type of paper used in official correspondence by offices and companies. It is a pre-formatted document that includes the company's logo, address, and contact details.)

 

2) It must be signed by an authorized representative of the institution where you will be conducting your traineeship, with their name and surname clearly stated.

 

3) It must be stamped with a stamp or seal.

 

(What is a stamp/seal: A stamp is a tool used by individuals or organizations to indicate ownership, approval, and the official nature of a document. It may include information such as the name of the person approving the document, their title, address, and other relevant details.)

 

4) In your invitation letter:

 

a) your name and surname,

 

b) which department of which academic division at Gebze Technical University you are a student,

 

c) the date range (specifying day-month-year) in which you will conduct your traineeship in the relevant institution,

 

(The Erasmus+ traineeship activity cannot be shorter than 2 months, and weekends are considered workdays. An example of a date range is from July 10, 2024-September 11, 2024. For traineeship mobility, if the company where the traineeship is being conducted is closed due to holidays, the traineeship may be interrupted. A grant payment will be made for the period the company is closed. To ensure the minimum activity duration is met, the dates when the company will be closed must be found out in advance, and it must be verified that the minimum duration is still fulfilled after the holiday period is deducted. Weekend holidays are not considered as a holiday period to be subtracted from the activity duration.)

 

d) that you will conduct your traineeship within the scope of "Erasmus+ Traineeship Mobility",

 

e) the duties the organization in question expects you to perform and the department (if specific) in which you will be conducting your traineeship must be indicated.

 

f) The place of traineeship and the subject of the traineeship must be approved by your department. The traineeship letter must include the full name and the signature of approval of the authorized person from your department.

 

 

Important Notes:

The content of your invitation letter must clearly indicate that the traineeship you will be conducting will provide you with professional experience related to your field of study and will involve professional practice. Activities such as research or thesis work cannot be carried out under the Erasmus+ Traineeship Mobility program.

 

It is not possible to conduct traineeships at EU institutions under Erasmus+.

 

The invitation letter must be in English.

 

A legible version of the invitation letter sent to you by e-mail from the institution where the traineeship will take place must be submitted.
